How to Use RetroBoard

A step-by-step guide for facilitators and participants

What is RetroBoard?

RetroBoard is a real-time collaborative tool for running sprint retrospectives. Your team writes cards, votes on the most important topics, discusses them together, and creates action items — all in one place.

For the Facilitator

Create a Board

Go to the home page and click "Start a Retro". Choose a template and enter your name. You'll get a board link to share.

Share the Link

Click the Share button in the board header to copy the invite link. Send it to your team via Slack, email, or chat.

Manage Phases

Use the phase controls to move through: Preparation → Writing → Voting → Discussion → Done. Only you (the board owner) can advance phases.

Use the Timer

Set a timer for each phase to keep the retro focused. The timer is visible to everyone.

Review & Export

In the Discussion phase, use AI Summary, group related cards, create action items, and export results as CSV, PDF, or Confluence format.

For Participants

Join via Link

Click the link shared by your facilitator. Enter your display name to join the board.

Write Cards

During the Writing phase, add your thoughts to each column. Cards are anonymous by default.

Vote

During the Voting phase, vote on the cards you think are most important. Vote counts are hidden until Discussion.

Discuss & Act

In Discussion, the team reviews top-voted items together. Add comments, reactions, and create action items with assignees and due dates.

Tips & Tricks

  • Cards are anonymous by default — the facilitator can reveal authors in Discussion phase.
  • Use the AI Summary to get a quick overview of key themes and insights.
  • Add GIFs to cards to make the retro more fun and engaging.
  • Action items support assignees and due dates to track follow-ups.
  • Export your retro results to Confluence for your team wiki.
